When to use this letter

Use this when you need your child's grades, attendance record, test results, discipline file or IEP paperwork — before a meeting, when changing schools, or when something in the file looks wrong. FERPA gives parents the right to see their child's education records, and the school has up to 45 days to provide access.

How to send it

  • Ask before a meeting, not after. Walking into an IEP or discipline meeting having already read the file changes the conversation completely.
  • Name what you want. 'Everything' takes longest; a list of the four or five documents you actually need usually comes back in days.
  • Ask about the copying fee in advance. Schools may charge for copies, but a fee is not allowed to be the thing that stops you seeing the records.

Common mistakes

  • Assuming the records follow the child automatically when they change schools. They usually do, but slowly, and gaps in the file cause months of trouble.
  • Reading only the grades. The discipline log and the teacher notes are where the surprises are.
  • Not asking for a correction. If something in the file is wrong, you can ask in writing for it to be amended.
