When to use this letter
Use this when a paycheck is smaller than the hours you worked — missing shifts, unpaid training or clean-up time, a break deducted that you did not take, or overtime paid at the ordinary rate. Payroll errors are usually genuine mistakes, and most are fixed quietly when someone points at a specific pay period in writing.
How to send it
- Keep your own record of hours. A phone note with dates, start and finish times is enough, and it is what makes the conversation short.
- Give it to your supervisor and HR, and keep a copy at home rather than only at work.
- Ask for the answer in writing. A verbal 'we fixed it' does not tell you which pay period the correction landed in.
Common mistakes
- Letting several pay periods pass before saying anything. The further back the error goes, the harder it is to reconstruct.
- Throwing away pay stubs. Keep them all — they are the record of what you were actually paid.
- Assuming unpaid time before or after a shift is normal. Work you are required to do is generally paid time; overtime is generally owed after 40 hours in a week.
